Private Events, Meetings & Conferences - Rules & Regulations

The following rules and regulations apply to all private events held at the Harvard Faculty Club:
Member sponsorship:
The Harvard Faculty Club (HFC) is a private club and all events must be sponsored by a member. Individuals eligible for membership may not be sponsored by another member, but must become a member themselves before any booking will be accepted. A sponsoring member accepts full financial responsibility for any function sponsored.
Responsibility:
The HFC cannot accept any responsibility for property, clothing, or equipment brought into the Club.
Disputes:
During an event the HFC Supervisor’s decision on any questions or disputes will be considered the final and official decision of the Harvard Faculty Club.
Liability:
The host is liable for any damage to the premises. The HFC Manager will determine damage. All repairs, refinishing, and replacements will be charged in full to the host.
Smoking & Open Flames:
Neither smoking nor open flames are permitted in the HFC at any time. When open flames such as candles are used, it is necessary to engage a Cambridge Fire Marshal.
Alcohol consumption:
All applicable laws regarding serving and consumption of alcohol must be followed, especially those pertaining to minors and inebriated individuals.
Decorations:
All proposed decorations must be approved by the HFC and those deemed inappropriate or dangerous will be disallowed. The use of balloons, hanging of flowers or garlands, and the throwing of rice, flower petals, or confetti, etc. is strictly forbidden.
Property:
HFC property, including the piano in the lobby, may not be moved.
Capacity:
Capacity limits must be strictly observed. The HFC reserves the right to turn away guests if the assigned space is in danger of being overcrowded.
Inappropriate Behavior:
The HFC reserves the right to ask a guest to leave if his/her behavior is deemed inappropriate or is perceived as a threat to the safety and well being of the HFC.
Host Responsibility:
The host or an appointed delegate must be at the event from beginning to the end. This delegate should help to monitor the front entrance throughout the evening, to assist with the admittance of guests, and to become involved in cases of inappropriate behavior.
Media:
Media coverage of private or corporate events is not permitted.
Notices:
The full proposed wording of notices, invitations, or press releases connected with the event must be submitted for HFC approval in a timely fashion prior to printing and distribution. Organizations may not imply HFC endorsement or sponsorship in their invitations or publicity.
Emergency Cancellation:
If an emergency situation in the HFC requires cancellation of an event with fewer than thirty days notice, the HFC will provide a full refund and will assist in finding an alternate location.
Right to Shut Down Event:
The HFC reserves the right to shut down an event at any time. This may occur if the renter has misrepresented the type of the event and it is one that the HFC would ordinarily deny, or if general behavior becomes inappropriate and presents a danger to the HFC.
